Part Time Admissions Administrative Assistant

JOB SUMMARY: The Admissions Administrative Assistant will perform various clerical functions as needed to maintain an efficient office. Follow policies and practices as outlined in the ECH Staff Manual and in compliance with the SCDSS group home regulations as well as those outlined in the Fixed Price Bid Contract Maintain historic files for active and discharged clients.

The Admissions Administrative Assistant will maintain historic files on both campuses. Maintain the ongoing spreadsheets and case number records for all Residential clients from past to present. Pull files for request of records, obtains approval for release from supervisor and sends records to the requesting party. Submit all file requests and records to be released to Senior Director for Residential Services for review. Obtain signature of approval from Senior Director before releasing records. Pull and prepare discharge file for audits.

The Admissions Administrative Assistant will create files for new admissions and uploads admission photos into electronic database system. Ensure the Health Center, the Barnes Learning Center and the Administrative office have received necessary intake documents. Maintain and update the Weekly Residential Population Report.

QUALIFICATIONS: Two years administrative experience or an equivalent mix of education and experience. Computer experience and/or training in Microsoft and Excel. Has a belief system and engages in faith practices that are compatible with those of the United Methodist Church. Typical hours for this position are 10am – 4pm, Monday – Friday.

REQUIRED SKILLS: Demonstrates practical application and experience with technology such as database functions/reports, Microsoft Word and Excel, internet/email usage, etc. Ability to handle sensitive information in a confidential manner. Exhibits strong customer services. Must be able to pass standard background checking, including: drug screen, employment physical, SLED, DSS Central Registry, and Sex Offenders Registry.
